Who runs this portal
The VIC (Vancouver Innovation Center), 18110 SE 34th St, Vancouver WA, operates this tenant portal for the people and companies who work in the building. Questions about anything on this page go to staff@thevicwa.com.
What we store
The portal only holds what it needs to run building services. In practice that is:
- Your profile — name, work email address, the company you belong to, and your role in the portal.
- Room bookings — which space, when, and any title you gave the booking.
- Event RSVPs — which events you said you were going to, including waitlist position.
- Comments — anything you post to the building comment channel, and any attachments you add.
- Waiver signatures — that you signed a given amenity waiver, which version, and when.
- Email records — what the portal sent you, whether it was delivered or bounced, and whether you have unsubscribed from broadcasts.
The portal does not run analytics, advertising or third-party tracking. There is no ad network, no behavioural profile, and nothing here is sold or rented to anyone.
Who can see it
Access is enforced in the database itself, not just in the interface. Other tenants cannot read your profile details, your bookings or your RSVPs. Building staff can see the operational records they need to run the building — bookings, event attendance, waiver status, comments and email delivery state — and staff access is confined to the building they work in.
Services we rely on
Running the portal means a handful of vendors process data on our behalf:
- Supabase (United States) — database, sign-in and file storage.
- Vercel — hosting and delivery of the site itself.
- SendGrid — sending portal email. A comparable provider may be substituted if we change transports.
- Adobe Fonts (Typekit) — the typefaces the site loads.
- Google Maps — the small map on the dashboard is embedded from Google, which may set its own cookies inside that map.
- Per Diem (Foode ordering)— the Foode café menu images shown on the dashboard are served from Foode's ordering provider. Placing an order takes you to their site, which has its own privacy terms.
Email you receive
Two kinds of mail come from the portal. Operational email — booking confirmations, event reminders, account and sign-in messages — is part of the service and continues while your account is active. Broadcasts and announcements are optional: every one carries an unsubscribe link, and mail apps can unsubscribe you in one click (RFC 8058) without opening the message. Unsubscribing from broadcasts does not affect operational email.
How long we keep it
Bookings, RSVPs and comments are retained while they are useful to building operations. Waiver signatures are kept as long as the waiver is the basis for your amenity access. Files you attach to a request are kept with that request. Old delivery records for the email the portal sends you are pruned automatically once they are no longer needed.
When you leave the building, ask staff to deactivate your account. That immediately disables sign-in, so the account can no longer be used. Deactivation on its own does not erase your past records — bookings, event attendance and waiver history stay attached to your account so the building's operational records remain intact. To have your information removed or anonymised beyond that, make a deletion request as described below; we action it by hand.
Your choices
You can correct your own profile from the portal and unsubscribe from broadcasts at any time. To ask for a copy of what we hold, or for your information to be deleted, email staff@thevicwa.com— a person handles these requests. We'll confirm your request, act on it, and if some records must be kept because staff need them to run the building or the law requires it, we'll tell you exactly what we can and cannot remove.
Changes
If this policy changes materially, we'll say so in the portal before the change takes effect.
