Emails from the portal
Every message the portal can send you, and which ones you can turn off.
Portal email comes in two kinds. The difference matters, because only one of them can be switched off.
- Transactional
- Something you did, or something that happened to your booking or RSVP. No unsubscribe link — you can't opt out, because these are receipts.
- Broadcast
- Building announcements sent to a group. Always carries an unsubscribe link and a postal address in the footer.
Which lane a message travels in
- It's a receipt for something you did then Transactional laneNo unsubscribe link, because there's nothing to opt out of — you asked for the thing it's confirming. Always delivered.
- It's an announcement to a group then Broadcast laneCarries an unsubscribe link and a postal address, and skips anyone who has unsubscribed.
- You unsubscribe then Broadcasts stopYour address goes on a suppression list that broadcasts check before sending.
- You unsubscribe then Receipts keep arrivingBooking confirmations, RSVP receipts, waitlist promotions and event reminders are unaffected — by design.
Transactional messages
| Sent when | |
|---|---|
| Portal invitation | Staff invite you to the portal. |
| Booking confirmation | You confirm a room reservation. |
| Booking cancelled | Your reservation is cancelled — by you or by staff. |
| Event RSVP confirmation | You RSVP to an event. |
| Event waitlist confirmation | You join a waitlist — includes your position. |
| Waitlist promotion | A spot opened and you were moved to going. |
| Day-of event reminder | The morning of an event you're attending, as a single digest. |
| Event updated notice | An event you're attending changes. |
| Event cancelled notice | An event you're attending is cancelled. |
| RSVP removed by staff | Building staff take you off a roster. |
Broadcast messages
- Building notice — operational news: closures, works, drills.
- General announcement — everything else from the building team.
- Event promotion — an invitation to something coming up.
You never get portal email at all
WhyWrong address on your profile, an aggressive spam filter, or you've unsubscribed from broadcasts.
FixCheck spam and filters, then ask staff to confirm the address on your profile. Note that unsubscribing only affects broadcasts — receipts should still arrive.
Mail lands in Promotions or Spam
WhyYour provider's classification, not a portal setting.
FixMark one as Not spam and add the sender to your contacts.
You got a booking confirmation for a booking you cancelled
WhyEmail can lag behind the action; the two were probably sent moments apart.
FixThe portal is authoritative — check Bookings. If the row is gone, it's cancelled.
