Account status and roles

Pending, Active, Inactive — and what each role can reach in the portal.

Every account carries a status and a role. Status decides whether you can use the portal at all; role decides how much of it you see.

Status

PendingThe account exists but building staff haven't approved it yet. Uncommon — accounts created by an invite or a bulk import arrive already approved.You can sign in and look around, but member actions — RSVPs, bookings, orders — stay locked with an awaiting approval note. Nothing is broken — you're waiting on approval.
ActiveApproved. The normal state.Full access to everything your role allows.
InactiveAccess switched off — usually because someone left the company.Same as Pending: you can sign in, but member actions stay locked.
How an account moves through those states
  1. Invited or bulk-imported becomes ActiveStaff created the account deliberately, so it arrives approved. All that's left is setting a password.
  2. Pending becomes ActiveBuilding staff approve you and assign a company and role. You get an email the moment it happens, with a link to set your password.
  3. Active becomes InactiveStaff switch access off, normally when someone leaves their company. History and bookings are kept.
  4. Inactive becomes ActiveReversible — staff can switch access back on without you signing up again.

Roles

You can't change your own role or status — building staff set both from the People console.

A page says “not found” even though you're signed in
WhyYou reached a page your role doesn't cover — most often an admin page.
FixThat's expected. If you believe you should have access, ask The VIC to check your role.
RSVP and booking controls say your account is awaiting approval
WhyYour account is Pending or Inactive.
FixAsk building staff to approve or reactivate you. Signing in again won't change it.
